Grant Management Checklist

  • Carefully read your grant program agreement and contact us with questions.

  • Save a copy of the signed grant agreement for your records.

  • Review and, if applicable, sign the Federal Labor Standards for Professional Performers form and return it to OH with the signed program agreement.

  • Notify state and federal legislators in writing that your program received a grant from OH for the funded programming and, if possible, invite them to the event. Retain electronic copies of the letters to submit with the grant’s final narrative report. 

    • Sample Letter to Legislators. Use this as a template to notify state and federal legislators in writing that your program received a grant from OH;

  • Duplicate and distribute program donation record forms as applicable.These documents are important if a significant portion of your grant match is in-kind support. These are for your organizational and grant management records and may be requested during an audit. 

  • Use the Oregon Humanities logo in public relations materials and specify in all written, print, or electronic promotional and informational materials produced in support of the grant that the program is funded by a grant from OH as follows: “This program was made possible in part by a grant from Oregon Humanities, a statewide nonprofit organization and an independent affiliate of the National Endowment for the Humanities, which funds Oregon Humanities’ grant program.” 

  • Complete the online event confirmation form and submit to OH at least four weeks prior to the start of each grant funded event, or ASAP, depending on your grant period. This allows us to help get the word out about your event and possibly attend.

  • Record attendance at all grant events for reporting on the final narrative report.

  • Archive copies of public relations materials to submit with the final narrative report.

  • Arrange for grant product submissions (i.e., make extra copies of publications or media to submit with grant product submission form).

  • Final Reporting requirements. Reports for grants awared on Sping 2020 are due June 30, 2021

  • If necessary, request changes to the duration of the grant period, in writing, at least thirty (30) days prior to the end of the grant period. We cannot guarantee we can accommodate extension requests.
